Bookings for Rooms and Resources

To make a room booking you will need to contact us by email or telephone.  We will send a confirmation e-mail with a booking form and a request for this to be completed and returned within 7 days, with a purchase order, as confirmation of your requirements and acceptance of our terms and conditions.  Failure to receive the acknowledgement form may result in the cancellation of your booking.  Final pricing may be dependent on resources selected and the number of attendees for any refreshment/catering requirements.

 

Hiring Rooms

Basic hire consists of a room rate with additional charges for catering, refreshments and some additional equipment hire.  Day delegate (d/d) rates are offered subject to a minimum attendance of 6 persons.  We shall need more information, in this case, to provide a final (d/d) pricing and will respond, subject to the detailed acknowledgement of your booking form.  For regular customers we will do our best to reserve a room of your choice.  However, we do reserve the right to exchange rooms used for events/meetings/ conferences for operational reasons; every effort will be made to reserve the room requested.  A final confirmation of attendees together with your catering requests must be received no later than the 7 working days (Mon-Fri) before your event, unless it is a late booking.

 

Payment Terms

For account holders HCF CATCH Limited T/A CATCH requires a valid Purchase Order number as confirmation of the booking.  Following the event our invoice will be sent to you for settlement.  The prices for room hire in the Conference Building are not subject to VAT Any room hire in the operational area(including CATCH Skills & the Technical Training Centre) are subject to VAT at the applicable rate. Refreshments and Catering and any extras (defined above) will attract VAT at the appropriate rate.

 

Payment terms are nett 30 days from the date of invoice- please note that any payments received outside of these terms may incur a late payment & interest charge.

If you are a new customer, we will accept the booking providing that you pay for the initial booking by credit card or BACS prior to the start of the event.  Subject to our T&Cs being met, we will open an account for your next visit (account holder conditions will apply).

 

Cancellation Policy

Upon receipt of your booking form, we will accept and confirm your booking and from that point, regard it as a legally binding contract between us. However, we accept that occasionally, circumstances do change and if possible, we would seek to accommodate your booking on a suitable alternative date.  However, if this is not possible, we may apply a charge based on a basic room tariff and any unforeseen costs generated by the cancellation, i.e. special equipment hire or catering, for the full duration of your booking.  We reserve the right to offer cancelled facilities to another user and if successful, may submit a reduced invoice covering an agreed settlement for all or part of the hire period. If we are unable to do this a cancellation charge is payable in accordance with the following schedule:

Notice of cancellation charges

  • Less than 7 days’ notice; 100% of costs (incl. catering)
  • 7 days before the event; 50% of total estimate (excl. catering)
  • 14 days before the event; 25% of total estimate (excl. catering)

For a day delegate rate, if the number of delegates on the original booking reduces to less than the minimum required, then the cancellation policy above comes into force.

All cancellations must be made in writing to CATCH; telephone calls are not acceptable as ‘proof of cancellation’, unless confirmed in writing the same day (email from the hirer is an acceptable written notice).  The date of receipt of this correspondence will determine the period of notice given to activate the CANCELLATION CHARGE, if implemented.

 

Food & Catering Service

If you have any special dietary requirements, please inform us, and we will inform our catering. In accordance with Food Hygiene & Safety Regulations, all left over food from our catering service: –

  • cannot be removed from the premises to be consumed elsewhere unless you sign the CATCH 365 form.
  • left-overs cannot be saved for extended periods to be consumed later

If you would like to remove food from the premises, then you must ask a member of the CATCH staff for a form from 365 Catering which you must sign.

Access to our facilities

A lift is available on the ground floor of buildings with training & conference rooms.  Other services can be arranged subject to advance notification for specific needs.  For training on the Operational Site, requests for support will be considered on an individual basis and taken into account by carrying out a full Risk Assessment to support our advisory position.

 

Drugs and Alcohol

In common with industry practices, we operate a strict policy designed to control unacceptable risks that could arise from the misuse of drugs and alcohol.  Drugs and alcohol are prohibited and must not be taken on to the CATCH site; nor must anyone under their influence attend events at the CATCH site.  We reserve the right to ‘test for cause’ and carry out a number of random tests each month during CATCH business hours.  Anyone found to be under the influence of drugs and/or alcohol will be removed from the site for further examination.  No fees will be refunded in the event of a failed test and if applicable, CATCH will inform the individuals employer as they may wish to carry out an investigation which could lead to potential disciplinary action. Copies of the full D&A policy are available on request.
